Proctored Activity Procedures

Students participating in online courses must complete two proctored activities determined by the instructor. A proctored exam or activity is one that is overseen by an impartial individual (called a proctor) who monitors or supervises the student while he or she is taking an exam or completing the activity. The proctor requires a photo ID and ensures the security and integrity of process.

A proctor oversees the process to ensure that the guidelines for that exam or activity are followed. For example, the test may be open book, closed book, may allow the use of the calculator, or may have additional stipulations listed by the instructor.


1. How are proctored activities or exams done?

Students in online courses are expected to travel to a Germanna Community College Testing Center (Locust Grove or Fredericksburg) to complete the proctored exam or activity. At the time of testing, you will be required to show a valid photo ID and to know the course name, section and which activity you need to complete.

In the even that you are unable to travel to the campus due to distance or other circumstances, you will need to find and make arrangements for a suitable proctor.



2. What if I (the student) cannot travel to a Germanna Testing Center for these activities?

If you are unable to travel to a Germanna Testing Center, you will need to locate a suitable proctor in the area and have the prospective proctor complete the Proctor Request Form early in the semester. This allows time for your instructor to verify that the proctor is appropriate and to get needed materials to the proctor prior to the activity due date.



3. Who is considered an appropriate proctor?

Acceptable proctors include, but are not limited to, (1) college or university personnel: administrators, faculty members, counselors, librarian or any official testing center if a testing center is available; (2) public or private school personnel: superintendent, principal, guidance counselor, librarian or teacher; (3) organization or institution education personnel (e.g., training coordinator, human resources personnel); (4) minister or member of the clergy; (5) US Embassy officials.

Most proctors will proctor an exam at no charge; however, if a fee is required it will be your responsibility to assure that the fee is paid.



4. Who will not be approved as a proctor?

Excluded from approval as proctors are a student's family members or relatives, immediate supervisors or coworkers, and neighbors regardless of other titles or positions they may hold.



5. How are proctors approved?

You must work with the selected proctor to fill out a Proctor Request Form and submit it to the instructor as soon after the start of classes as possible. This must be done in a timely manner allowing the instructor time to verify the credentials of the proctor and to get any materials needed to the designated proctor.



6. What are my responsibilities as a student?

If utilizing the Germanna Testing Centers, you are responsible for In the event that you cannot travel to a Germanna Testing Center,you are responsible for
- traveling to the Germanna campus of your choice -arranging for a procter prior to the onset of the activity
-bringing a valid photo ID to the testing/activity -locating and gaining permission for that individual or testing center if you are unable to travel to a Germanna Testing Center
-knowing the course and assessment name -completing the Proctor Request Form and returning to the instructor in a timely fashion.

7. What role does my instructor have in this process?

Instructors are responsible for:

  • providing the Testing Centers with a Proctored Activity Cover Sheet stating how and when the activity is to be completed, and with any additional material needed such as paper tests or Bb test passwords if applicable.

In the event that a student cannot come to a Germanna Testing Center, the instructor will need:

  • to request that the student submit a Proctor Request Form as soon after the start of classes as possible.
  • arrange for the needed materials to be available in time for the completion of the activity by the student. (Again, all fees involved in the handling of materials are the responsibility of the student.)
  • provide a cover sheet for the assessment material that states the circumstances under which the assessment is to take place (open or closed book, use of calculator, notes, etc.)

8. What are the proctor's responsibilities?

Proctors are required to:

  • keep all testing material in a safe place until the student requests them.
  • provide a testing-conducive environment for students.
  • check the student's ID using a photo ID prior to beginning the assessment.
  • monitor the taking of the assessment according to the instructor's directions.
  • return the material to the instructor in a secure and timely manner.
